Five records to organize before asking about Texas surplus funds

A clear file is more useful than a large file. Organize the documents around what each one actually establishes.

1. The property and its identifiers

Start with the public sale property address and county. Add a parcel or legal-description reference when it appears in the record. Do not substitute the recipient's current mailing address. If the sale property and mailing address differ, label them clearly in your private working file.

2. The document describing the sale

Record the sale date, amount and document reference exactly as provided. Note the recording office and instrument or case number. An auction advertisement may describe a proposed event rather than the final result, so identify the document's purpose before treating it as proof of the completed transaction.

3. The basis for the payoff

The original amount borrowed is not automatically the relevant payoff. Payments, interest and other changes may affect a balance. If you have only the original loan amount, record that limitation. A precise-looking calculation does not become reliable just because the numbers have two decimal places.

4. Costs and other deductions

Use a separate line for costs and another for other identified deductions. Check whether the payoff already includes a particular charge before subtracting it again. If a figure is unknown, leave it unknown. A zero should reflect a supported conclusion, not a convenient way to complete a form.

5. A dated research log

Keep the date checked, source and question next to each figure. When sharing a public breakdown, use official public links or document references rather than login URLs or private files. Keep recipient identity documents out of the QR.

These five groups make it easier to ask a focused question: what is verified, what is estimated and what needs legal or official confirmation? If the file concerns a Texas tax sale, read the separate tax-sale guide before discussing a proposed claim or fee.

General research guidance, not legal advice. Confirm current records and claim-specific requirements before acting. Caliber serves Texas and Ohio.
